Legal Administrative Assistant

We are seeking a Legal Administrative Assistant to join our collaborative and passionate team in Whitehorse, YT. This role is best suited to an individual that is a motivated self-starter, who is efficient, resourceful, and a continuous learner that takes initiative to complete tasks on-time, while anticipating next steps to providing excellent quality legal support services to the needs of Indigenous communities, government, and businesses.
Role Overview
The position is located in our Whitehorse office. The Legal Administrative Assistant reports to multiple lawyers of the northern practice group, with guidance and support from HR and Director of Admin.
The primary responsibility of this role is to provide administrative and legal assistant support to our team of lawyers to ensure the seamless operation of our northern practice work.
This position provides an opportunity for career development working with a variety of great lawyers. This role will assist with the coordinated oversight of the Whitehorse office needs for those working on- site from the Whitehorse office location.
Key Responsibilities
Maintain and organize calendars, emails, correspondence, notes, schedules, meetings, documents, resources, files and bring it forward systems.
Prepare documents including (formatting, editing, proofing) correspondence, memos, drafted agreements, legislation, codes, bylaws, and reports.
Search and save documents using software, databases, and document management systems (e.g., Worldox), to obtain file-specific information from various government websites and offices.
Coordinate travel arrangements, supply orders, and general office vendor contracts.
Scan and photocopy all required documents.
Organize and maintain client documents, pleadings, corporate records and various other briefs and reports.
Organize, maintain, and manage complex electronic and paper filing systems, including opening, and closing of files.
Arrange and prepare for meetings including document preparation (e.g., Agendas and Minutes), and coordinate other logistics (e.g., food, beverages, and supplies).
Provide litigation support, including assisting with preparing specialized court documents.
Interpret rules of court for various provinces and levels of court.
Help lawyers to stay current with developments in the law and matters of interest to our Yukon client base.
File and coordinate court services documents and schedule appointments and arrange for trials, tribunals, and review hearings.
Assist with reviewing and assembling documentary evidence and manage complex evidence records, transcripts, and project management plans.
Other tasks may be assigned to support the team and manage the Whitehorse office.
Requirements & Qualifications
Education and/or experience as a Legal Administrative Assistant.
Excellent technical skills and exceptional attention to detail.
Excellent organizational skills and collaborative teamwork.
Ability to manage, organize, and prioritize work independently.
Adept at using Microsoft Office 365, Adobe programs and Outlook.
Knowledge of document management systems (i.e., Worldox) and ESI-Law is an asset.
Ability to work in a fast-paced legal services environment, prioritize work effectively and meet deadlines which may change quickly.
Outstanding interpersonal, written, and oral communication skills.

This position is anticipated to be fully in-office for the first 6 months throughout the training and probationary period, and then may integrate into a hybrid work arrangement with flexibility for 2-3 days per week subject to the needs of the business. The position is located in Whitehorse, YT.
